You don't need an email app to use Professional Email. Every mailbox comes with OX App Suite, which runs in your web browser: mail, calendar, contacts and file storage, from any computer. This guide covers logging in, setting an out-of-office reply or forwarding, and bringing your old email across.
Logging in to webmail
- Log in to your account, open Services and click your Professional Email service.
- In the side menu, under Email Management, choose Log in to OX App Suite.
OX App Suite opens in a new window, already signed in.
Anyone with a mailbox can also sign in directly at us.appsuite.cloud with their full email address and mailbox password, so the people who use your mailboxes don't need access to your account.
Out-of-office replies
- In OX App Suite, click the cog at the top right and choose Automatic replies.
- Switch it on and write a Subject and Message.
- To have it stop by itself, tick Send automatic replies during this time only and set the start and end dates.
- Click Apply changes.
Under Show advanced options you can choose how many days pass before the same person gets the reply again, so people aren't flooded with copies, and which of your addresses it's sent from. While it's on, a reminder that your automatic replies are active shows above your inbox.
Forwarding your email
- Click the cog at the top right, then All settings.
- Choose E-mail, open Rules and click Auto forward.
- Enter the address under Forward all incoming email messages to this address. Tick Keep a copy of the message if you want the messages to stay in this mailbox too.
- Click Apply changes.
Automatic replies is also on the same Rules page, next to Auto forward, and Add new rule lets you sort incoming email into folders automatically.
If all you want is a second address for the same person, an alias is simpler than forwarding. See Creating mailboxes and email aliases.
Moving your old email across
If you're moving from Gmail, Outlook.com, iCloud, Yahoo or another provider, the migration tool copies your old messages into your new mailbox.
- Create the new mailbox first (see Creating mailboxes and email aliases).
- On Manage Email Accounts, open the Migration Tool tab and click Launch Migration Tool.
- Choose your old provider, or enter its IMAP or POP3 details by hand, and sign in to the old account when asked.
- Choose the new mailbox to copy into and start the copy. Large mailboxes can take several hours.
Your old messages are copied, not moved, so nothing is lost if anything goes wrong. Once the copy has finished and your domain's MX records point at Professional Email, new mail arrives in the new mailbox.
Still using an email app?
Webmail and email apps work side by side. If your app uses IMAP, anything you read, file or delete in one shows the same way in the other. The settings are in Setting up your email on a phone or computer.
